For receiving and purchasing
Getting stock in at the right cost, putting it where pickers can reach it, and keeping pick bins full.
The cycle
Creating the PO
Purchase Orders › Create PO: vendor, expected date, terms, then paste the lines as
SKU, qty, cost. Validate, create. The PO number is the date plus a sequence. Every line's cost becomes the
product's current cost. See Purchase orders and receiving for the paste rules.
The Inventory page's On Order column now shows the quantity, and customer service can see the expected date.
When the truck arrives
- Count against the PO
Purchase Orders › Receive, choose the PO. Type what arrived per line. Up to double the ordered quantity is accepted; more needs a new line.
- Decide where it goes
P fills every line with the SKU's primary pick bin; S fills every line with
90REC, the receiving bin every install carries. Mixed is fine: type the location per line. Receive straight to the shelf (primary up to its Max, the rest to a bulk bin) when the stock can be sold at once; receive to an inactive receiving bin when it must be checked or put away first. - Freight
Put the delivery's freight in Add Total; it is spread across the lines by value and folded into the unit cost.
- Receive Items
Stock appears immediately, dated today, at landed cost. Waves can use it on the next run; Shopify sees it on the next stock push.
Put-away
Stock received to a receiving bin is moved from the Inventory page: open the SKU, type the destination in Move To on the receiving row, quantity, Complete Move. The received date and cost travel with it, so cost of goods stays correct. Keep the receiving bin inactive so nothing in it is promised to an order before it is on the shelf; the Inventory page shows it under Unavail until you move it.
For a large put-away, such as the opening count at install or a big delivery, an Admin can use
Inventory › Import with one row per SKU and bin: each row moves that
quantity out of 90REC and receives only any excess.
Keeping pick bins full
Run the Replenishment report as needed, when bins are running low or ahead of a big wave:
- Set the demand window (30 days is a good start) and coverage days (how many days a pick bin should hold).
- Filter Has Bulk and sort by Days ascending: the bins running out soonest with stock available to move.
- Select rows, adjust Move Qty if needed, Generate Move.
- Print the
RMauto-move from the Waves page, move the stock, Complete it.
Use the Undersized filter from time to time: those bins cannot hold enough for your coverage days. Enlarge the bin and raise Max, or move the SKU to a bigger location.
Locations
New SKU? Create its primary pick bin on the Locations page (zone 01, the SKU, Primary checked, a Max). New shelf? Create the bulk bins in a batch; the + button increments codes for you. A whole new area, or a move from another system? An Admin can import locations and stock from spreadsheets. Damaged shelf? Uncheck Act and its stock goes to Unavail until you move it.
Corrections
| Problem | Fix |
|---|---|
| Received the wrong quantity | Owner: Back out on the PO reverses the receipt if the stock is still unallocated; receive again. Otherwise an Admin adjusts the difference with a reason. |
| Received to the wrong location | Move it on the Inventory page. |
| Vendor short-shipped, rest not coming | Close the PO. |
| Invoice cost differs from PO | Use Actual on the receive line, or edit the line cost on the PO before receiving. |
| Count is wrong on the shelf | Admin: open the SKU on the Inventory page, adjust with a reason. For many bins at once, Bulk Adjust. |
Reading the audit trail
The Transactions page answers "when did this come in and from which PO" (type Received, From shows the PO number), "who moved it" (Moved, with user) and "why is it short" (Shortfall rows). Copy to Clipboard takes a filtered view into a spreadsheet.
